Summary:
Under the supervision of the Manager of Facilities & Purchasing, will perform skilled administrative and support services related to facilities and purchasing in Fillmore and Simi Valley offices and may provide assistance at other TCRC locations as needed.
Interacts with a variety of people, including but not limited to board and community members, Directors, Managers, staff, landlords, real estate brokers, tenant representatives, contractors, service/maintenance people, city or county workers.
Must work independently and as part of a team.
Travel, reliable transportation, valid CDL, insurance, and good driving record required.
Note:
This position will work on-site at TCRC's Fillmore office two (2) days per week and TCRC's Simi Valley three (3) days per week.
Mileage reimbursement will not be provided for normal commuting to/from these offices on regularly scheduled days.
Primary Functions:
1.
Assists and conducts activities related to facilities in Fillmore and Simi Valley offices.
Deals promptly with issues such as HVAC, noise, fumes/dust, hazards, leaks, cleaning, lighting, security, etc.
to ensure a safe and comfortable work environment.
2.
Assists with distributing office keys/cards to new staff and setting up new staff on the access and alarm systems.
3.
Assists with setting up cubicles for new employees and assists staff with their supply items needed.
4.
Assists with ergonomic supplies and distribution as needed.
5.
Assists with purchasing of meeting supplies and food service items for various TCRC meetings.
6.
Assists with making copies and putting together printed materials and handouts for various TCRC meetings.
7.
Assists with large mailings, such as making copies, folding/stuffing envelopes, creating and/or affixing labels, processing mail, delivery to the Post Office or mailing center as needed, and working with mail service companies.
8.
Maintains offsite storage and conducts regular review of contents and/or purging of documents in conjunction with DOFA managers.
9.
Assists with scanning and archiving files, and other documents.
10.
Provides friendly, professional, personal service to all people including but not limited to board members, persons served and families, staff, vendors, community members, landlords and property managers.
11.
Assists in planning and coordinating office relocations, reconfigurations and expansions.
Act as the point person for contractors, service technicians, supply and delivery personnel and other building workers on a day to day basis to direct, escort, assist, monitor, etc 12.
Ensures successful two-way communication between appropriate persons.
13.
Coordinates repair and or maintenance of equipment, supplies and/or furniture.
14.
Follows up on purchase orders to ensure timely arrival.
15.
Assists with the distribution of supplies and helps with supply ordering and inventory.
16.
Provides setup and cleanup for a variety of TCRC meetings.
17.
Ensures that the building is left clean, in repair and secure (if after hours) after service is conducted.
18.
Provides mailroom operations backup.
19.
Keeps supervisor informed daily of all activities and communication.
20.
Maintains spreadsheets, logs and other documentation of maintenance work and for other facilities and purchasing functions.
21.
Identifies areas of concern and follows up with them promptly.
22.
Must be able to drive between TCRC offices for urgent matters at any time during regular work hours, and may occasionally need to work beyond regular work hours as business needs require.
23.
Primary contact person to handle building alarm calls for the Fillmore and Simi Valley offices.
24.
Perform other duties as assigned.

Minimum
Qualifications:
x AA degree required.
BA/BS degree preferred.
x At least 5 years of general office and/or administrative experience.
Minimum 2 years of this experience related to performing or supporting facilities functions.
x A valid California Driver License, reliable personal vehicle, clean driving record and proof of automobile insurance are required.
x This position is not eligible for a flex schedule.
Work hours are 8:
00 am to 5:
00 pm, Monday through Friday with 1 hour for lunch.
Physical Requirements:
Adequate manual dexterity and coordination for operation of a computer and other standard office equipment is required for this position.
The ability to sit at a workstation for long periods of time, the ability to read, write and comprehend large amounts of written material such as reports and regulations, use the telephone, and communicate via electronic mail are all required on a daily basis.
The ability to travel to another work-site location is absolutely required on a daily basis.
The ability to stand, sit or walk for moderate distances on uneven terrain is also required on a daily basis.
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, feel or operate objects, tools, or control and reach with hands and arms.
The employee frequently is required to stand, sit, walk, push, pull, kneel, stoop, bend, and squat.
The employee must frequently lift and/or move up to 10 lbs.
and infrequently up to 40 lbs.
Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
Each of these physical tasks is an essential function of the position.
